The Opportunity

We are looking for a well-organized, competent and self-starter Office Administrator to join our growing team in Downtown Vancouver. The candidate should be a highly motivated individual and responsible for directly supervising and maintaining all office management duties.

Duties and Responsibilities

-Administrative support:

  • Manage contract and price negotiations with office vendors and service providers
  • Process employees’ requests and provide relevant information
  • Arrange travel and accommodations
  • Maintain the office condition and arrange necessary repairs
  • Manage office supplies stock and place orders
  • Book and arrange meeting rooms as required
  • Coordinate with IT department on all office equipment
  • Provide general support to visitors
  • Handling incoming/outgoing mail shipments
  • Manage office General and Administrative budget, ensure accurate and timely reporting
  • Oversee office day-to-day operations, manage supplies, and pantry
  • Assisting in the New Hire Application Process – pre-screening and testing applicants; notifying existing staff of internal opportunities, interview scheduling, and applicant correspondence;
  • Assist in the onboarding process for new hires
  • Update and maintain office policies as necessary
  • Assist in payroll preparation by providing relevant data, like vacation and sick leaves
  • Plan in-house or off-site activities, like parties, celebrations, and conferences; Schedule in-house and external events

Qualifications

  • 3+ years of corporate administrative management experience.
  • Professional behavior and effective communication – clear and concise verbal and written communication to convey substance/intent
  • Relationship building – initiate contact readily and devote time to maintain
  • Organizing and planning – manage time, maximize productivity
  • Team Player – Team-oriented, share resources, assist other areas
  • Excellent computer and technology skills and established experience with productivity software
  • Ability to work in a fast-paced environment, maintaining organization and prioritization of tasks.
  • Bachelor’s Degree from an accredited institution
